Robert Half Healthcare has an immediate opening for a Administrative Assistant for major healthcare company in the Sacramento area. The Administrative Assistant provides administrative and secretarial support to department leadership. This position is responsible for the general administrative tasks as directed by department leadership. Reporting Relationships: The Administrative Assistant reports to the department manager/director. IV. Job Duties (Note- * denotes an essential function. A job function is essential if removal of that function would fundamentally change the job.) 1. *Provides administrative and secretarial support as directed by the department leadership

  • Answers, screens and directs incoming phone calls.

  • Schedules internal and external appointments, possibly involving multiple participants from both internal departments and external Sutter Health affiliates, employing effective and efficient time management skills.

  • Opens, dates stamps, reviews and effectively distributes mail for the department

  • Drafts meeting agendas and assembles memos, agenda packets and other supporting documents as directed

  • Schedules meeting rooms, arranges for AV equipment, flip charts, seating and refreshments as required.

  • Composes and responds to routine correspondence as directed by department leadership .

  • Creates charts, graphs and presentations using graphics software. 2. *Maintains and keeps current calendars for department leadership

  • Provides expertise in Microsoft Outlook, supplying guidance on best practices for electronic calendaring, ensuring systems are functioning appropriately and independently interfacing with the IT Help Desk to resolve issues when they arise.

  • Updates electronic calendar for department leadership on a regular basis and as schedules change.

  • Ensures all meetings are calendared and appropriate information is provided for the most efficient use of leadership time, uses good judgment in determining priority of appointments.

  • Reviews all meetings with the department leadership prior to communicating agreement to others. 3. *Coordinates special projects and performs other duties as required

  • Facilitates logistics for the department leadership participation in various Sutter Health system meetings and functions.

  • Coordinates scheduling and logistics involved in special off-site meetings and retreats including preparing materials, securing equipment and providing administrative support, as needed.

  • Performs special projects, producing and compiling statistical reports, graphs, presentations, binders or other materials as directed.

  • Assists with the development and monitoring of project plans.

  • Promotes positive employee relations by alerting appropriate managers to employee issues when necessary.
